The 5 Reports Every Field Service Business Owner Should Review Weekly

You can't improve what you don't measure. These five reports give you a complete picture of your business health in under 10 minutes.

Most field service business owners have a rough sense of how things are going — busy or slow, good week or bad week. But "rough sense" isn't enough to make good decisions. The businesses that grow consistently are the ones that track the right numbers and review them regularly.

You don't need to spend hours in spreadsheets. These five reports, reviewed weekly, give you everything you need to know in under 10 minutes.

1. Revenue this week vs. last week vs. same week last year

The most basic but most important number. Is revenue trending up, flat, or down? The year-over-year comparison is especially valuable — it accounts for seasonal patterns and shows you whether you're actually growing or just riding a busy season.

2. Outstanding invoices (aged receivables)

How much money is owed to you, and how old is it? Break it down by 0–30 days, 31–60 days, and 60+ days. Anything over 30 days needs active follow-up. Anything over 60 days is a cash flow problem in the making.

This report also tells you which clients are consistently slow payers — useful information when deciding whether to keep working with them.

3. Jobs completed vs. jobs scheduled

Your completion rate tells you how efficiently your team is executing. A completion rate below 90% usually means scheduling problems, no-shows, or jobs taking longer than estimated. Each of those has a different fix.

4. Top clients by revenue

Who are your most valuable clients? Review your top 10 by revenue monthly. Are they still active? When did they last book? Your top clients deserve proactive outreach — don't let them quietly drift to a competitor.

5. New clients this week

How many new clients did you acquire? Where did they come from? This tells you whether your marketing is working and which channels are most effective. If new client numbers are dropping, that's an early warning sign worth addressing before it hits revenue.

Make it a habit

The value of these reports isn't in any single week — it's in the trend over time. Block 15 minutes every Monday morning to review them. After a few months, you'll have a clear picture of your business's trajectory and the data to make confident decisions about hiring, pricing, and growth.
